Overview

Inbox Zero is a workflow for keeping your inbox clear while ensuring nothing falls through the cracks. Instead of leaving conversations sitting unread, you can archive them, schedule a follow-up, tag them, or connect them to a deal.

The goal is simple: Main inbox at zero.

Inbox Zero is customizable, so if you don’t wish to utilize it but still wish to use the keyboard short cuts you can simply uncheck the move from inbox check box when a tag, follow up or stage is changed.

NOTE: Archiving a conversation will ALWAYS move the conversation from main into the archive folder. You can unarchive a conversation, by utilizing the ‘e’ keyboard short cut to archive/unarchive

If you archive a conversation inside Adtaria it will not be archived on LinkedIn.

Tag

Add a custom tag to a contact * not a deal, but the contact tag will be passed to the deal

Follow up

Add a follow up date to the contact or deal, if contact has deal follow up date is reflected in both, if contact doesn’t have a deal follow up date is just for the contact

Default Inbox Views

Main

Main is the primary working inbox. When you navigate to the inbox page inside Adtaria this is where you will land. You can use filters, sorting and view options within the main folder. We suggest creating saved views from main.

If a Conversation has a follow up for today, but you moved it, it will show in main. If you archived a conversation, tagged it or moved it, if the contact replies it will return to main.

  • All new conversations start here

  • This is where you process messages

  • Conversations leave Main when they are archived, tagged, or given a follow-up date

  • Keeping this at zero means you are fully caught up

All

All - shows every active conversation. If a conversation was moved from main but tagged, added a deal, added a follow up date it will show here. All is where you navigate to when you forgot your action. All does NOT include archived conversations.

  • Includes all unarchived conversations

  • Conversations moved to other views still appear here

  • Used as a global reference inbox

Unread

Unread shows conversations that have not been opened. You can mark a conversation as unread if you don’t want to deal with it right now, or we suggest adding a follow up date to the conversation.

  • Automatically updates as messages are read

  • Used to quickly find new or missed messages

Follow-up Today

Shows conversations due for follow-up today.

  • Includes contacts or deals with a follow-up date set for today

  • Used as a daily action list

Follow-up All

Shows all conversations with a follow-up date.

  • Includes today, upcoming, and overdue follow-ups

  • Used for planning and workload review

Has Deal

Shows conversations linked to a deal.

  • Used to focus on revenue-related conversations

  • Helpful during pipeline reviews

Archived

Shows archived conversations.

  • Archived conversations are hidden from active inboxes

  • Conversations automatically return if a new message is received

Managing Inbox Views

Default inbox views are automatically added to your side bar by default. We have added suggested views such as overdue Follow-up, Waiting for Their Reply, Waiting for My Reply and more. They can be quickly added to your side bar if you wish.

To add suggested views, or turn off views:

  • Click Organize in the sidebar

  • Hide or show inbox views

  • Reorder inbox views

  • Changes apply immediately

Creating Custom Inbox Views

You can create your own inbox views.

  • Apply filters such as tags, pipeline, stage, or follow-up status

  • Click Pin View

  • Name the view

  • Chose an icon for the view

  • The view appears in the sidebar

Custom views behave the same as default inboxes.

Suggested Views

Suggested views can be installed with one click.

  • Tag-based inboxes

  • Pipeline-based inboxes

  • These create pre-configured pinned views

Suggested views help you get started without manual setup.

Inbox Zero Workflow

A typical workflow looks like this:

  • Read the conversation

  • Take action or respond

  • Archive it, tag it, or set a follow-up

  • Move on to the next message

Inbox Zero is achieved when Main is empty.
